The Difference Between Delegating Tasks and Delegating Ownership

May 04, 20264 min read

Most business owners know they need to delegate.

The challenge is that many are already delegating.

They are handing work to team members.

They are assigning responsibilities.

They are asking staff to take things off their plate.

Yet somehow they still feel responsible for everything.

If that sounds familiar, you are not alone.

This is something I see often with Canberra business owners.

The issue is not usually delegation.

The issue is ownership.

At Canberra Business Accelerators, many of the business owners we work with have reached a point where they have capable people around them, but they still feel tied to every decision, every client issue and every problem that arises.

That is often the difference between delegating tasks and delegating ownership.

Why Delegation Often Feels Like It Is Not Working

Most business owners start by handing over tasks.

They ask someone to manage the booking.

Follow up the client.

Prepare the quote.

Process the paperwork.

On the surface, the work has been delegated.

The problem is that responsibility often stays with the owner.

The team member completes the task, but still comes back for approval.

The owner still checks everything.

The owner still feels accountable for the outcome.

As a result, nothing really changes.

The workload moves around.

The mental load stays exactly where it was.

Research from Harvard Business Review highlights that when leaders become the default problem solver, organisations often experience decision making bottlenecks, reduced team ownership and increased leadership burnout.

The Signs You Have Delegated Tasks But Not Ownership

The signs are usually easy to spot.

You might notice:

• Staff constantly checking decisions with you

• Team members waiting for approval before acting

• Clients asking to speak directly with you

• Problems being escalated that should be handled elsewhere

• Feeling unable to switch off when you are away

A business owner I worked with recently had built a strong team around them.

On paper, the team could handle most enquiries.

In practice, new opportunities still found their way back to the owner.

The business had delegated activity.

It had not delegated ownership.

This is closely connected to what we explored in our article, The Hidden Cost of Doing Everything Yourself in Your Business.

Why Business Owners Step Back In

Most owners do not step back into the process because they want control.

They step back in because they care.

They care about clients.

They care about quality.

They care about the reputation of the business.

The challenge is that every time an owner jumps back in, they unintentionally teach the team that ownership still belongs to them.

The team learns that difficult decisions should be escalated.

The owner becomes the safety net.

Over time, this creates dependence.

The business grows.

The owner's capacity does not.

According to Harvard Business School, succession planning and leadership development are critical because organisations need capability that extends beyond a single individual.

Ownership Requires More Than A Handover

Ownership is not created when a task is assigned.

Ownership is created when there is clarity.

People need to know:

• What outcome they are responsible for

• What decisions they can make

• When they should escalate issues

• What success looks like

• How performance will be measured

Without those elements, delegation becomes a constant cycle of checking, correcting and redoing.

Many Canberra small business owners become frustrated because they believe delegation has failed.

In reality, ownership was never fully transferred.

The Leadership Shift That Creates Capacity

One of the biggest leadership shifts is moving from solving problems to developing problem solvers.

This requires a different approach.

Instead of immediately providing answers, leaders ask questions.

Instead of fixing every issue, they coach people through the decision.

Instead of becoming the expert in every situation, they build expertise across the team.

This takes longer in the short term.

It creates significantly more capacity in the long term.

That is where sustainable growth begins.

Building A Business That Can Grow Without You

Many business owners reach a point where working harder is no longer the answer.

The next stage of growth comes from increasing leadership capacity.

That means building people.

Creating accountability.

Developing decision making capability.

And allowing ownership to sit with the people responsible for the outcome.

At Canberra Business Accelerators, we often find that the biggest growth opportunities come from helping owners move from being the person who does the work to the person who develops the people doing the work.

That shift is not always comfortable.

It is often necessary.

And it creates the capacity required for long term growth.
